Before your first send
Stop here before you tap Email quote, Text, or Share PDF on your first estimate.
Setup (do these first)
1 · Your profile — Settings → Profile: contact name, phone, and email (your business). These print on the quote and prefill customer handoffs.
2 · Quote defaults — Guided setup applies 8.25% sales tax (exclusive), due on completion, and 30-day validity automatically. Before first send, open Settings → Quote & invoice options if your tax rate differs or you want payment methods on quotes. Hosted quote and invoice links in email is off by default (email uses a PDF attachment unless you turn hosted links on). Sales tax rate is also under Tax & pricing (Basic) or Finance (Pro/Premier).
3 · Client — Clients: add the customer. Phone required for Text; add email on the client profile for Email quote (client contact on the PDF comes from the client, not your business profile).
4 · Quote — Open the client → New quote. Add line items. Tap save (disk icon) when shown. Tap Lock quote (closed padlock) when the estimate is final — Draft cannot be sent.
Send
- Email quote — Opens your mail app. Default: PDF attached. With Hosted quote and invoice links in email on and a data connection, the message may use a view link instead; if upload fails, you still get a PDF. On first send, the message asks the customer to reply to approve; Resend quote does not.
- Text — Smart message via your SMS app. First send includes Reply ACCEPT to confirm; Resend quote is a neutral summary. Optional client booking link from your profile.
- Share PDF (print icon) — Clean PDF via the system share sheet. No separate approval action—use Email or Text when you want the approve prompt.
- Sent (orange) is recorded when you return to N78-Ops after a successful email handoff—not when Gmail merely opens.
Not required before first send
- Scheduling / work week — set under Settings → Scheduling after Approved, before Schedule for … (Work week & business hours).
- Theme, Locale & formats, backups, master password — optional polish; backups are good practice once you have real data.
- Collecting payment — N78-Ops does not run card charges; you mark Paid when money clears outside the app.
