Quote drafting & locking
Quotes stay in Draft (gray) while you edit line items. Optional: set Expected job duration on the quote (starts from Settings → Scheduling → Default job duration) before you tap the lock icon—the field is read-only while the quote is locked. Tap lock when the estimate is ready to share—the status becomes Locked (blue) until you actually send. Then send by text (smart message can include the quote # and your client booking link when you set that URL under Settings → Profile), email (secure view link in the message body when online and Hosted quote and invoice links in email is on under Settings → Quote & invoice options; otherwise a PDF attachment), or Share PDF (print icon — system share sheet).
Reply to approve (quotes only)
N78-Ops asks for customer approval on the first send of a locked quote. Invoices and receipts never include approve wording—they use payment or thank-you language instead.
- Text (first send) — *Please reply with your approval* and Reply ACCEPT to confirm.
- Email (first send) — Hosted view links and PDF emails include a short reply to approve line in the message body.
- Resend quote — Same Text / Email quote buttons, but neutral copy (no approve line) so follow-ups do not repeat the ask after they already accepted.
- Revised quote — If you unlock, change line items or totals, and send again, the approve prompt returns so the customer can accept the updated estimate.
- Share PDF — Always a clean PDF (no approval footer)—best for print, Drive, or filing. Use Text or Email quote when you want the built-in approve prompt.
When does Sent happen? For email quote, N78-Ops marks Sent (orange) when you return to the app after sending from your mail client—not when Gmail merely opens. If you back out without sending, the quote stays Locked. Mailto-only handoffs (no PDF or link attached) do not mark Sent.
Bill to on documents: If the client has a business name, quotes and invoices print business name plus contact name under Bill to; otherwise contact name only. Client email and phone on the document come from the client profile, not your business profile email.
When they accept, mark Approved on the quote in the app. Schedule pre-fills job duration from Expected job duration stored on the quote (set before lock, or unlock to edit if you skipped it).
Locked data vs comments: Locked data & comment fields — client and quote data are locked; comment fields can be edited even when the page is locked.
