Privacy Policy — Community Edition

Scope. This Privacy Policy applies only to the complimentary N78-Ops Community Edition Android application (“the App”) distributed outside Google Play as a Basic-only APK. It is published at nivo78.com/ops/privacy/community/ and inside this App. The full Play Store N78-Ops release (Basic, Professional, or Premium tiers) is covered by a separate policy at nivo78.com/ops/privacy/.

This policy describes how Nivo78 Mobile Apps, LLC (“we,” “us”) offers this edition and how the App handles information when you use it. If you do not agree, please do not use the App.

Disclaimer, taxes, and use at your own risk

Front-end tool; your accounting software is the single source of truth. N78-Ops is a front-end operations tool for organizing field work, quotes, scheduling, and customer handoffs. It is not an accounting system, a general ledger, or a bookkeeping service. Whatever accounting software you use is your system of record and the single source of truth for your books, balances, invoices, payments, and tax figures. N78-Ops only helps you capture and hand off clean data to that software; if the App and your accounting software ever disagree, your accounting software is authoritative. Reconcile, issue formal invoices, and file from your accounting software, not from N78-Ops.

Not professional advice. N78-Ops is a software tool to help you organize business records. It is not legal, accounting, tax, or financial advice.

Your tax responsibility. You enter tax rates and business data in the App. The App may calculate display lines from rules you configure, but you are solely responsible for all taxes and related obligations—including sales and use tax, income tax, payroll tax, estimated payments, filings, remittances, penalties, and any other tax or regulatory requirements. We do not prepare, file, or remit taxes for you.

Provided as-is; your risk. The App is provided “as is” and “as available.” Your use of N78-Ops and any decisions you make based on information in the App are at your own risk. To the fullest extent permitted by law, we disclaim warranties and are not responsible for data loss, business losses, income or revenue losses, tax outcomes, missed deadlines, or other harm arising from your use of the App, except where applicable law requires otherwise.

Real business data. If you use the App with live clients, quotes, and financial records, you are responsible for accuracy, backups, device security, and verifying totals before you rely on them or send them to customers.

1. Who we are

N78-Ops Community Edition is the public name for this complimentary Basic edition. The app is offered by Nivo78 Mobile Apps, LLC. The technical Android package identifier is com.mike.n78ops; it identifies the app binary on your device.

This edition does not include paid upgrades inside the App and is not sold through Google Play Billing. App updates are not guaranteed; we may evaluate significant functional problems you report through in-app feedback when deciding whether to publish a new APK.

2. Information the App processes

Business and account data you enter. The App works primarily on your device. Information you add—such as clients, quotes, tasks, notes, expenses, job photos you attach to quotes, and related business records—is stored locally on your device unless you export or back up files yourself.

Exports, backups, and sharing. When you run export, backup, accountant-pack (ZIP), or similar flows, the App writes files to locations you choose (for example through Android’s document picker or your email app). Full portable backups use verified .n78bk files (or legacy .json / password-protected .zip) in the locked documents/N78-Ops folder; the App verifies each full backup can decode before marking it successful. For each export you choose password-protected or plain for that run only. Password-protected files use the master password you set during setup (the same password used for restore). Plain exports are readable by anyone who receives the file. Client spreadsheet CSV exports cannot restore the App—only full backups can. Accountant-pack ZIP files include spreadsheet and HTML quote files for this edition; they do not include QuickBooks import files or other paid-tier accountant handoff paths. We do not receive copies of export files unless you deliberately send them to us.

Quote and invoice delivery. When you email a quote or invoice, the App attaches a PDF generated on your device by default. If you turn on Hosted quote and invoice links in email under Settings → Business profile and your device is online, the App may upload a single HTML view of that document to infrastructure operated by Nivo78 Mobile Apps, LLC on nivo78.com and place a view link in the email draft instead of a PDF. Hosted HTML is automatically deleted from our servers after 30 days (or sooner if revoked). If the link cannot be created, the App falls back to a PDF attachment. Share PDF, print, text, or other channels use PDF or plain-text behavior for those flows. You choose when to send; review the draft in your mail client before sending.

When you enable Copy me on customer texts and emails in Settings → Profile (off by default), customer email drafts may include your business email as Cc/Bcc and customer texts may include your business phone as an additional recipient. Your mail and messaging apps send the message; we do not receive a copy unless you send it to us.

In-app feedback email. If you use a feedback screen and send mail through your own email app, we receive the message you compose. The draft includes a device and app version block for triage, plus aggregate counts (clients, quotes, invoice-sent status, tasks, expenses, and similar), non-identifying profile preferences (for example date format, clock style, scheduling defaults), and registry toggle flags—not full client lists, quote line items, dollar amounts, or complete business record dumps. Review the draft in your mail client before sending.

We do not sell your personal or business data to data brokers. We do not use your information for third-party advertising or behavioral ad profiling. The App does not read the advertising ID for ads and does not read phone state for advertising or analytics.

Payment-related data. The App does not collect or process your customers’ credit or debit card numbers for job payments. When you collect payment outside the App (cash, check, card reader, payment link, etc.), those providers’ terms apply to their checkout—not to card data inside N78-Ops. This edition does not offer Google Play in-app subscriptions or other paid upgrades through Play checkout.

Tax. You enter tax rates and business data on your device. Quote tax lines are calculated from the rules you configure in the App. All tax remittance, filings, and compliance with federal, state, local, and other authorities are your sole responsibility.

3. Permissions and device access

The App may request access only as needed for features you use:

You can allow or deny several of these in Android Settings; some features may be limited if permission is denied.

4. Cloud backup

Google Drive automated backup is not included in N78-Ops Community Edition. Use portable backups under Settings → Data & backups when you need an off-device copy. If you later use N78-Ops Community Plus Edition or the full Play Store N78-Ops release (Premium tier), Google’s privacy policy applies to any Drive backup you enable.

5. Third-party services

This edition does not use Google Play Billing. Other optional services you configure outside the App (for example your email provider or calendar app) process data under their own policies.

6. Security

We use industry-standard protections where applicable, including Android’s EncryptedSharedPreferences for sensitive app configuration and encryption appropriate to high-sensitivity content (for example AES-GCM for certain vault-style data). Sensitive flows may use the system’s secure-window flag to reduce screenshot and screen-recording exposure where supported. No method of storage or transmission is 100% secure; you should protect device access with a strong screen lock.

7. Biometric authentication

Sensitive areas may use biometric unlock (fingerprint or face) or device PIN/pattern/password through the system. Biometric data is processed on your device by the operating system; we do not receive a copy of your fingerprint or face template.

8. Calendar

This section supplements Section 3. Calendar read access is used only for features you use (scheduling, conflict awareness, restore checks) and is not used for marketing. New calendar entries are created through your calendar app after you confirm.

9. Data retention and deletion

Data you create remains on your device until you delete it in the App, use built-in reset or wipe options where available, or uninstall the App (which removes application data from the device according to Android behavior).

Hosted quote and invoice pages. When you turn on Hosted quote and invoice links in email and a send succeeds, a copy of that HTML view may be kept on our servers until the expiration time (typically 30 days after upload) or until revoked on the server. After that, the hosted HTML is automatically deleted and the view link stops working. Your authoritative business records remain on your device unless you delete them in the App.

Deleting data in the App. Removing business records (for example clients, quotes, tasks, or vault entries) and using factory reset require explicit confirmation in on-screen dialogs. You can cancel those dialogs to leave information unchanged. Device-calendar events you created outside the App may remain until you remove them in your calendar app.

10. Children’s privacy

The App is intended for business users and is not directed at children. We do not knowingly solicit personal information from children under 13 (or the age required by your region). If you believe we have inadvertently collected such information, contact us and we will take appropriate steps to delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will ship the updated policy in a new APK for this edition, post it at nivo78.com/ops/privacy/community/, and update the “Last updated” date shown in the App. Continued use of the App after you accept the updated in-app policy means you accept those changes.
