When data leaves the device
Default: your business data stays on this phone. Clients, quotes, schedules, and invoices live in Android’s private app sandbox. Nivo78 does not receive your full database and does not upload it in the background.
Data can leave the device only when you start an action that moves a copy elsewhere. Here is each path, what goes out, and where it lands.
Email to a customer
- Default (hosted links off): N78-Ops builds a PDF on your device and opens your mail app with that attachment. On the first send of a quote, the email body includes a short reply to approve line; Resend quote omits it. Nothing is uploaded to Nivo78 for that send. Content leaves when you tap send in Gmail, Outlook, or whichever client you use.
- Hosted quote and invoice links in email (off by default, Settings → Quote & Invoice Options): When on, you are online, and upload succeeds, the app may send a view link in the message body instead of a PDF. On first quote send, the body also asks the customer to reply to approve; resends do not. See Hosted HTML on nivo78.com below. If upload fails or you are offline, you still get a PDF attachment—we do not store that PDF on our servers.
- Copy me on customer texts and emails (Settings → Profile, off by default): When on, customer mail handoffs BCC your business email. See Copy me on customer texts and emails.
Text (SMS) to a customer
N78-Ops opens your messaging app with a plain summary (quote #, totals, optional client booking link from your profile). On the first send of a quote, the message asks the customer to reply with approval (Reply ACCEPT to confirm); Resend quote uses neutral summary text only. Content leaves when you send the message. With Copy me on customer texts and emails on, your business phone may appear as a second recipient.
Share PDF and print
These use the system share sheet or print dialog. The PDF is a clean document (no approval footer)—for print, Drive, Files, or another messenger. Use Email quote or Text when you want the built-in reply to approve prompt on first send. N78-Ops does not upload those files for you.
Hosted HTML on nivo78.com (optional email view links only)
When Hosted quote and invoice links in email is on and you email while online, your device may upload a single HTML view of that quote or invoice to infrastructure operated by Nivo78 Mobile Apps, LLC on nivo78.com.
What is uploaded: the formatted document (line items, totals, tax, terms, your business name, embedded logo when shown) plus limited metadata to operate the service (document type, quote id, client name as you entered it, recipient email for that send).
What happens next: the email draft contains a view link. Anyone with that link can open the page until it expires or is revoked. Hosted HTML is automatically deleted from our servers after 30 days (default retention). Your authoritative records stay on the device.
When hosted links are off, or upload fails, email uses a PDF on the device only—no copy on nivo78.com for that send.
Backups and restore files
Create full backup writes a portable Bkp_*.zip (password-protected) or Bkp_*.json (plain) to documents/n78ops and your Saved backup files list—still on the phone unless you copy the file elsewhere (USB, cloud folder, email attachment). Import backup file reads a file you choose from Downloads, Drive, or another folder. See Data files & backups and Manual Backups & JSON Snapshots.
Exports and accountant packs
Each export is your choice to write or share data outside the app:
- Data & files — full backup, CSV spreadsheet export.
- Clients → Export spreadsheet…
- Save for accountant (ZIP) (Pro or Premium) — CSV, HTML per quote, QuickBooks handoff files.
- Insights → Share tax snapshot, Today → QuickBooks incremental export, Settings → Accountant data vault export where your plan includes them.
Password-protected exports use your master password; plain exports show a short risk reminder first. See Protecting exports & sensitive data.
Optional Google Drive backup (Premier)
Only when you enable it under cloud/backup settings. Encrypted backup data is written to your Google account—not a Nivo78 business database.
Google Play subscription checkout
Plan purchases run through Google Play Billing when you upgrade. That is Google’s checkout flow, not a copy of your client registry.
Help and feedback email
If you send the draft from Settings → Help & feedback, the message may include app version and aggregate counts (for example number of clients)—not a dump of your full business database. Browse Help articles from Dashboard → Help, not this screen.
What never happens by default
- No background sync of your quotes or clients to Nivo78.
- No upload of PDF attachments from default email sends.
- No hosted HTML unless you turn on the toggle and successfully send with a view link while online.
