Mileage tracking (three ways to log drives)

N78-Ops supports three mileage entry paths. Reimbursement uses your Mileage rate under Settings → Tax & pricing (Basic) or Settings → Finance (Pro/Premier). Mileage rows appear on Expenses (Pro/Premier).

Set up automatic mileage (vehicle Bluetooth)
Best when you drive a work vehicle every day and want miles logged without opening the app.

  1. Schedule jobs in N78-Ops — mark quotes Approved, then Accept this slot on Schedule so each visit has a date and time (automatic mode matches drives to these jobs, not your personal calendar alone).
  2. Pair your vehicle in Android — open Android Settings → Bluetooth, pair your truck or van (or the head unit you connect to every morning).
  3. Open N78-Ops settingsDashboard → SettingsTax & pricing (Basic) or Finance (Pro/Premier).
  4. Confirm mileage rate — set Mileage rate if you use something other than the default ($0.70 / mile).
  5. Choose automatic mode — under Mileage tracking, Start trackingAutomatic (vehicle Bluetooth).
  6. Pick your vehicle — tap Vehicle Bluetooth and select the paired device you use for work drives.
  7. Tune the schedule buffer (optional) — Schedule buffer (minutes) defaults to 60; widen it if you often leave home more than an hour before a job starts.

Grant Bluetooth and location when Android asks the first time.

How automatic mode works

A trip starts only when your phone connects to the vehicle you selected in Settings. At that moment, N78-Ops begins a foreground GPS trip session and checks your approved schedule for jobs that fall within your configurable time buffer. If a matching scheduled job is found, the trip is classified as business; otherwise, it remains personal. When you park and disconnect from the vehicle, tracking stops automatically. If the trip was classified as business, the recorded mileage is automatically posted to Expenses.

Set up manual GPS (dashboard button)
Use this when you want GPS miles but prefer to tap start/stop yourself (shared vehicle, rental, or no reliable car Bluetooth).

  1. Settings → Tax & pricing or FinanceMileage trackingStart trackingManual (dashboard button).
  2. On the dashboard (lower-right), tap Mileage OFF (green) before you drive → Mileage ON (red) while moving → tap again to stop.
  3. Allow location when prompted the first time.

Fully manual (no GPS)
Expenses → Add mileage — enter date, destination, and miles yourself. No location permission.
